Contract Administrator

We are seeking a highly organized and detail-oriented Contract Administrator to join our client's team. In this role, you will provide crucial support to the Project Manager and Project Team in the day-to-day administrative operations of their respective projects. You will collaborate closely with various stakeholders, including the VP of Construction, Project Executive, Senior Project Manager, Assistant Project Manager, Senior Superintendent, and Accounting.

Responsibilities:

  • Assist in compiling subcontracts and material contracts for approval, distribution, and execution during Project Buyout.
  • Facilitate the execution of change orders.
  • Provide W-9s and Certificates of Insurance (COIs) to Accounting to set up new Subs and Vendors.
  • Set up subcontracts in Procore and manage subcontract and change order uploads and approvals.
  • Manage subcontractors in Textura, including monitoring compliance and processing monthly pay applications.
  • Collect and track lien waivers and assist subcontractors with billing and insurance inquiries.
  • Attend monthly Owner Controlled Insurance Plan (OCIP) calls and collaborate closely with Alliant Insurance Services.
  • Process weekly invoices for assigned projects and disburse payments to subcontractors in Textura.
  • Prepare checks on demand, joint check agreements, and standard letters of credit.
  • Update forecasts in Yardi for monthly Production Reports and maintain subcontract files on the network.
  • Assist in project closeout and ensure compliance with administrative policies and procedures.
  • Perform other tasks and responsibilities as assigned.

Qualifications:

  • High School Diploma or equivalent.
  • Previous administrative experience with a General Contractor preferred.
  • Experience with Procore and Textura required; previous experience with Yardi is helpful but not required.

Skills:

  • Excellent verbal and written communication skills.
  • Highly organized with strong attention to detail.
  • Proficiency in computer programs such as MS Office, Adobe, Textura, Procore, and Yardi.
  • Ability to meet deadlines and adjust as needed.
  • Self-motivated and able to work effectively both independently and as part of a team.
